The Docs folder in looch is where email receipts and invoices go when you use your business’ dedicated email address or forward them to [email protected] from your profile email. looch requires the email address on your profile to be the sender or appear in the CC field when you use [email protected] for a forward. looch saves mail sent to your dedicated address in the folder named with that address, while forwarded documents go into your folder named with your name. looch’s built-in accounting lets you attach any of these documents to a transaction with 'Choose from docs'.

Use your business’ dedicated email address
From the looch menu, go to Docs folder.
Tap the folder named with your business’ dedicated email address, which ends in @docs.looch.money and is listed after your team’s folders.
Tap the copy icon beside the address at the top of the screen. looch shows 'Email address copied!'.
Paste the address where a merchant or app lets you set a separate email address for invoices or receipts.
Return to this folder to find the invoices and receipts sent there, then pull down to refresh it.
Forward an invoice or receipt to the shared address
Forward the email with the invoice or receipt to [email protected] from the email address on your looch profile, or CC that profile email when forwarding from another address.
From the looch menu, go to Docs folder, then tap the folder with your name.
Tap the document’s name to open it.
The two email addresses work differently
Your dedicated email address | ||
Who it belongs to | Your business only | Every looch business and every teammate |
Where documents land | Your business’ dedicated email address folder | Your own folder, named with your name |
Use it for | Merchants and apps that let you set a separate billing or receipts email | Forwarding invoices and receipts from your inbox |
How looch knows where to save it | The address itself | The email address on your looch profile, as the sender or in the CC field |
Emailed documents follow these rules
With attachments: looch saves each attachment as its own document, under its own file name with the email’s date and time added, and disregards the email’s body.
With no attachment: looch saves the email itself, named after its subject.
File types: looch saves PDF, PNG, JPG and JPEG attachments.
An email sent to your dedicated email address is saved only in that folder, even when a teammate is the sender or CC’d.
'Add document' in any folder adds a file from your phone instead.
To use a document on a transaction, tap 'Choose from docs' when you add a receipt to a transaction.

💡 Pro tip: Send invoices and receipts to looch automatically with a Gmail filter
It’s perfect for a merchant that doesn’t have a separate field for a billing email address. A Gmail filter forwards the emails you pick to your business’ dedicated email address, so all your invoices and receipts land in looch without you having to dig anything up from your inbox.
In Gmail on a computer, click 'Settings' at the top right, then 'See all settings'.
Open the 'Forwarding and POP/IMAP' tab and click 'Add a forwarding address'.
Enter your business’ dedicated email address, then click 'Next', 'Proceed' and 'OK'. Gmail sends a verification email to that address.
In looch, open your dedicated email address folder in the Docs folder, open Gmail’s verification email there, and tap its verification link to confirm the address.
Back in Gmail, refresh the page. In the search box at the top, click 'Show search options' and enter the search for your scenario from the table below.
Click 'Create filter', choose 'Forward it', pick your dedicated email address, then click 'Create filter' again.
Scenario | What to enter in Gmail’s search | What lands in looch |
Every email from one merchant’s billing address | from:[email protected] | Every email that address sends |
Any invoice or receipt that comes with a file | subject:(invoice OR receipt) has:attachment | Each attached file |
Only PDF invoices from one merchant | from:example.com filename:pdf | Each PDF, under its own file name |
A receipt with no attachment, like a ride or order confirmation | from:[email protected] subject:receipt | The email itself |
Several merchants in one filter | {from:[email protected] from:[email protected]} | Every email from either address |
Gmail forwards only new emails that match a filter, not the ones already in your inbox.
Click 'Search' before 'Create filter' to see which emails your search matches.
For an email that’s already in your inbox, forward it to [email protected] from the email address on your looch profile, as described above.
Questions about emailed documents
What’s the difference between my dedicated email address and [email protected]?
looch gives your business a dedicated address ending in @docs.looch.money for invoices and receipts sent straight to its dedicated folder. looch uses [email protected] for forwards and saves them in the named folder belonging to the profile email shown as the sender or in the CC field.
Why isn’t my forwarded receipt in my Docs folder?
looch needs the email address on your profile to be the sender or appear in the CC field. Forward the receipt again from that address, or CC it when forwarding from another address.
What happens to the text of an email I forward to looch?
looch disregards the email’s body when the email has attachments and saves each attachment as its own document. looch saves the email itself when there’s no attachment.
Can my teammates forward receipts to [email protected] too?
looch gives each teammate a folder named with their first and last name. Each teammate can forward to [email protected] from the email address on their looch profile, or have that address included in the CC field.
Which file types does looch save from an email?
looch saves PDF, PNG, JPG and JPEG attachments from an email.
